Set one disclosure date for the whole register
Write the date on which the register is being assembled and the purpose of the proposed borrowing. Collect records available for that same review point rather than mixing an old agreement, a recent payment message and a remembered figure without labels. The date does not make every document current; it tells the reader when the comparison was performed. Beside each line, record the date carried by the supporting paper and the date it was obtained. If a fresh record has been requested but not received, mark that request as pending. This opening discipline keeps a later change from looking like an original omission.
Separate borrower, joint-holder and guarantor roles
Start each sleeve by describing why the obligation belongs in the file. The applicant may be the sole borrower, one of several account holders, a guarantor, or the person making payments for another arrangement. Those roles are not interchangeable. Copy the role from the responsible document and add a short explanation where the household carries a practical payment burden that is not obvious from the account name. Do not relabel a third-party commitment as an ordinary instalment or treat another person’s account as the applicant’s own. If responsibility is disputed, keep the dispute visible instead of choosing the convenient version.
Open a separate evidence sleeve for every commitment
Give each obligation a stable reference and keep its records together. The sleeve can contain the agreement, the latest statement available, proof of recent payments, settlement correspondence and any notice about arrears or a dispute. Record the legal name printed on the document, not a nickname used in messages. If the institution is a bank, the Bank of Botswana licensed-bank page observed on the cited date may be used only to check whether that legal name appears in the material reviewed. That observation does not authenticate a message, establish a product or prove that the obligation belongs to the applicant.
Reconcile the outstanding amount with the payment pattern
Transcribe the outstanding amount exactly as shown on the dated record and label its denomination. Then record the scheduled payment and frequency from the responsible paper. Do not derive one field from the other or fill a blank from memory. Compare the statement movement with payment proofs only to find questions: an unreflected payment, a fee description, an amount carried forward or an unfamiliar entry. The register should state what the document shows and what still needs explanation. It should not calculate a substitute figure or present an estimate as the amount owed. Retain the original record beside the transcription.
Place due dates on a household calendar
Copy the next due date and the normal payment day where they are stated. A calendar view helps the applicant see when several commitments compete with rent, food, transport, school or other essential duties. It is not evidence that a new payment will be affordable. Mark deductions, standing instructions or manual payments according to the paperwork available, without assuming that a familiar payment method will continue. If a date is conditional or a schedule is missing, record the uncertainty and ask the responsible party for a current schedule. The calendar remains descriptive until the missing record arrives.
Keep arrears, disputed entries and corrections visible
Create a clearly labelled note for a missed payment, disputed entry, correction request or account that the applicant believes is closed. Attach the message or letter that supports the note and record the latest response. Do not mark a disagreement resolved merely because a request was sent, and do not erase the original entry when a later correction appears. Show both records and explain which one is being relied on for the application. Leave external assessment methods outside the register
The register should not claim what information another organisation holds, what checks a provider will perform or how any item will be interpreted. Those matters are not established by the two public pages cited here. The applicant’s task is narrower: disclose the commitments requested, use responsible records, answer direct questions truthfully and label uncertainty. If an application form uses a term that is unclear, request a written explanation through an authenticated provider channel before answering. A complete personal file does not become a prediction about eligibility, price or outcome.
Explain mismatches in plain factual language
When the register and a document do not align, write a short chronology. State what each dated record shows, what action was taken, what evidence is attached and what remains unanswered. Avoid blaming language, speculation about system errors or a polished story that goes beyond the papers. A useful note might identify that a payment proof post-dates the latest statement and that confirmation is pending. It should not announce that the account has been corrected. Plain chronology lets the receiving institution ask a precise follow-up and lets the applicant update the file without rebuilding it from memory.
Package and refresh the signed disclosure
Review the register line by line, confirm that each attachment reference opens the intended document and remove unrelated personal material. Keep a copy of exactly what is sent, the authenticated destination, the sending date and any acknowledgement. Before a later submission, refresh changeable fields from responsible records rather than reusing the package unchanged. Correct an error openly with a dated replacement and preserve the earlier version in the private audit trail. The final register is a controlled disclosure of available evidence. Missing records, provider interpretation and the application result remain unknown until the responsible party supplies them.
