This guide explains how to complain to a Botswana bank and Banking Ombudsman and where to raise a non-bank lender complaint in Botswana. Its working object is a complaint ladder with jurisdiction, issue statement, evidence index, provider submission, response, escalation condition and outcome. It does not promise a result, choose a legal remedy or route every finance dispute to the same authority.

Questions before signing

A complaint can fail operationally when it names the wrong entity, mixes several remedies, omits proof of the first submission or is sent to an authority outside the provider's class. Emotional language may be understandable but cannot replace dates and documents. Continuing disputed payments without written guidance may create further issues, while stopping a genuine contractual payment unilaterally can have consequences. A borrower should distinguish the contested event from ongoing obligations and request instructions from the responsible institution.

Establish jurisdiction before drafting

Write the provider's exact legal name, trading name, agreement or application reference and activity being disputed. Confirm whether it is a bank using the Bank of Botswana route or a regulated non-bank institution using NBFIRA's current information. Do not select an authority from the product name alone. A broker, payment service, insurer and lender may have separate roles in one transaction, so identify which entity performed the disputed act. If classification is uncertain, ask the authority or institution through an official channel before sending a file rich in personal data. Record the jurisdiction decision and source date. This first step prevents the complaint from becoming a general narrative sent everywhere without a responsible respondent.

Define one reviewable issue

State what happened, when, who acted, which term or instruction is relevant, what financial effect is documented and what correction or explanation is requested. Separate several issues into numbered claims rather than combining deductions, service delay, disclosure and staff conduct in one paragraph. Attach one evidence reference to each factual statement. Mark calculations as calculations and show their inputs; do not describe an estimate as an account balance. Avoid accusing an individual of motives that the record cannot establish. The aim is a question the institution can investigate and answer in writing. End with a reasonable requested outcome, such as an account explanation, correction, document, reversal request or confirmation, without asserting that a particular remedy is guaranteed.

Create a numbered evidence index

List the controlling agreement version, quotation, repayment schedule, statements, receipts, messages, call notes and earlier requests. Give every item a date, source and short relevance note. Preserve originals and use copies for annotations. Remove unrelated third-party information where appropriate without altering evidence needed to understand the issue, and disclose any redaction. Include proof that the complaint reached the provider and the response received. A screenshot cropped away from its sender or date is weaker than a complete saved message. The index should allow a reviewer to move from each complaint paragraph to the source without searching a phone. Keep security credentials and one-time codes out of the submission even if they appeared during the disputed event.

Use the bank complaint ladder

For a complaint about a bank, obtain and use that bank's internal procedure first. Submit the issue in writing, request acknowledgement and retain its final response or evidence that the internal step remains unresolved. The Bank of Botswana consumer-protection page says a dissatisfied customer may then lodge the complaint with the Botswana Banking Ombudsman. It also describes escalation to the Director of Banking Supervision at the Bank of Botswana if the customer remains dissatisfied with the Ombudsman's resolution. Recheck the official page for current contact details and requirements before sending. Do not skip levels merely because another complainant used a different route, and do not describe the Ombudsman as the lender or the bank's internal team.

Use the non-bank complaint ladder

For a regulated non-bank entity, ask for its complaint procedure and submit the issue to the entity in writing. NBFIRA's published procedure says it considers escalation after attempts to settle with the regulated entity have been made and the complainant remains dissatisfied; the current page and procedure describe the supporting history and correspondence required. Follow the current instructions rather than copying an old address or timeframe from another site. Keep the entity's acknowledgement, response and principal-officer step where applicable. When the published escalation condition is met, submit the organised record to NBFIRA through its official complaint route. A complaint against an unverified or impersonated entity may also require a fraud report, but that does not convert it into an ordinary regulated-provider dispute.

Maintain the outcome ledger

After each response, record the date, decision maker, issues answered, evidence considered, remedy offered, action owner and next permitted step. Do not overwrite the requested remedy with the outcome. If only part of the complaint is resolved, close those numbered issues and carry forward the rest with their prior evidence. Note any deadline supplied by the institution or official process without inventing a universal duration. Ask how ongoing payments should be handled and obtain written guidance; the existence of a dispute does not itself rewrite an agreement. At final closure, store the outcome with any corrected statement, replacement schedule or account confirmation. The ledger shows whether escalation conditions were actually reached and prevents repeated submissions from losing the procedural history.
