Verified local facts
Start by preserving the exact wording, named provider, product, request date and official channel. Then list every current repayment the applicant can evidence, while distinguishing a scheduled repayment from an outstanding balance, arrears, a settlement figure and written closure. Keep currencies as stated and keep document dates beside every figure. If the request uses a term that is unclear, ask the provider to define it before answering. The purpose is an accurate, reviewable response and a complete household view; the register cannot decide eligibility, calculate a credit score, prescribe a debt-to-income ratio or predict approval.
Evidence and limitations
Use provider statements, repayment schedules, agreements, receipts, written settlement quotations and closure confirmations that belong to the applicant. Record the source date and the period or account each item covers. Reserve Bank consumer-rights material says consumers should provide accurate, truthful and up-to-date information and take steps to avoid over-indebtedness. A separate Reserve Bank bulletin associates non-disclosure of existing indebtedness and taking multiple loans with over-indebtedness in discussion that includes microfinance borrowers. That supports complete disclosure and caution, but does not impose this register or one application rule on every Zimbabwe bank.
Questions before signing
A neat table can conceal weak evidence. The normal repayment is not necessarily the amount required to settle; a transfer instruction does not prove that an old account is closed; and a disputed amount is not safely removed merely because the applicant contests it. Do not infer arrears from a late-looking entry, change a source record, combine different currencies, or treat a missing balance as zero. Do not assume that a provider will query a particular registry or that any disclosed debt will produce a particular decision. Personal account records should go only to a verified official destination for a confirmed purpose, never with a PIN, password or authentication code.
Decision checklist
Create one versioned row for each evidenced obligation and mark each field confirmed, unresolved, disputed, awaiting provider evidence or closed by written confirmation. Reconcile the register with the household's dated cash-flow view without inventing a threshold. Ask the personal loan provider how to treat a joint account, contingent commitment, refinancing transaction or figure that changed after the statement date. Keep the question, answer, supporting record, transmission date, channel and acknowledgement together. The completed register is an audit trail for a truthful response. It is not a recommendation to consolidate debts, an assurance that disclosure is sufficient or a forecast of the provider's decision.
Preserve the provider's exact debt question
Copy the question before preparing an answer. Record the provider's legal name, named product, date, official page or direct message, requester and verified reply channel. Do not replace words such as debt, repayment, balance, arrears, guarantee or other commitment with your own category, because they may not mean the same thing. If the request does not define its period, ownership test or required date, ask for written clarification. A provider-specific answer should not become a public claim that every personal loan application in Zimbabwe asks the same question. Build a dated obligation register
Create a separate row for each obligation supported by the applicant's records. Useful editorial fields are creditor, account reference, product description, currency, regular payment, payment frequency, next due date, evidenced balance, balance date, status and source document. These are Credizen register fields, not a prescribed RBZ form and not proof that a particular provider demands every field. Keep the source wording and attach no public copy of a personal statement. The Reserve Bank says consumers should provide accurate, truthful and up-to-date information. That principle supports traceability, while the applicant's provider documents supply the actual figures and ownership. A row with incomplete evidence remains in the register with the missing field marked unresolved.
Keep payment, balance and settlement distinct
A scheduled repayment describes a periodic outflow. A statement balance describes the account at its statement date. Arrears, if confirmed, describe an overdue status, while a settlement quotation is a provider-issued amount for its stated date and conditions. Written closure is separate evidence again. Enter only the category and figure the source actually supports. Do not multiply a repayment to estimate a balance, subtract recent payments from an old statement, or treat a settlement request as proof of settlement. If the source currency differs from another obligation, preserve each currency rather than creating an unsourced total. Reserve Bank material emphasises understanding obligations and agreement terms, but only the relevant institution can state a current account figure or closure status.
Make unknown and disputed states visible
Mark an unavailable current balance unknown and identify the record or provider response needed to resolve it. Do not type zero to make a budget calculate. For a disputed figure, retain the institution's figure, the applicant's stated dispute, the complaint or clarification reference and the present unresolved status without deciding which side is correct. For a joint obligation, record the documented parties and ask the requesting provider how its question applies; do not invent an allocation. A proposed refinance does not close the old obligation. Keep it active until payment is applied and the old provider confirms the resulting status in writing. Accurate disclosure means preserving uncertainty and chronology, not editing evidence into a cleaner answer.
Reconcile repayments without creating a score
Place each evidenced repayment on the same dates used in the household cash-flow view and compare it with the corresponding statement or schedule. Investigate a missing, duplicated or changed entry through the source institution. Do not calculate a public safe ratio, infer a credit score or predict how a provider will assess the result. Transmit a versioned answer through a verified channel
Review the register against the provider's exact question, correct transcription errors without changing source records and state every unresolved field plainly. Confirm the destination from current official provider information before sending personal data. Share only the evidence requested for the confirmed purpose. Never disclose a PIN, password, one-time code or other access credential. Retain the answer version, its source dates, transmission time, channel and acknowledgement. If a balance or status changes before the provider finishes its review, ask whether an updated answer is required and preserve both versions.
