Open the provider request card

The provider request card starts with the legal or trading name, controlled web address, exact document wording, stated purpose and observation date. Reach the provider independently before trusting a message that asks for personal records. CBZ’s page can identify CBZ as the publisher of its observed consumer-loan wording, but it cannot authenticate an unrelated sender. Record any mismatch in names, domains or destinations. Until the responsible provider resolves that mismatch through a controlled channel, the request card remains open and no copy leaves the reader’s possession.

Separate identity from residence proof

Identity and residence proof answer different questions, so place them in different pockets of the sleeve. Ask the provider what fact each requested document is meant to establish and whether a less revealing record would meet that purpose. Do not assume that an identity document also proves a present address or that a residence record identifies the account holder. The principle is not to conceal information the provider properly requests; it is to prevent a narrow evidence question from becoming an unexplained collection of personal material.

Authenticate the receiving channel

Authenticate the receiving channel through the provider’s controlled page or another independently reached contact. Confirm that the route is intended for the named document and enquiry. A secure-looking upload screen, messaging profile or email signature is not enough when its domain or owner cannot be matched. Record the channel that was confirmed and the date of confirmation, but do not broaden that narrow answer into a claim that the route serves every reader or location. If the destination changes unexpectedly, return to the controlled provider contact before proceeding.

Log every document handover

The document handover log records the copy description, recipient, route, purpose, date and acknowledgement. It should not repeat full identity numbers or other sensitive values. Keep originals outside the exchange unless a responsibly verified process expressly requires sight of them. If a provider asks for a replacement, link the new copy to the earlier entry rather than deleting the history. The log should show what moved and why; it does not show that the material was accepted for assessment or that any commercial decision followed.

Correct mismatched personal details

Correct mismatched personal details through a traceable explanation, not by editing the source document. Build an evidence expiry calendar

List each identity and residence document, its issuer, issue date, expiry date, address basis and the provider field it supports. Ask the provider to confirm exceptions in writing and record the response.
